PRIVACY POLICY

Warehouse TERRADA (hereinafter, referred to as “we”) is developing businesses as a culture creating company based on a philosophy of “safekeeping not only the items themselves but also their value”.
We have a social obligation to continue providing high quality service to ensure customers entrust us with their important “items” and their “values” with trust and confidence. In addition, understanding the importance of personal information entrusted to us by customers (including business partners) and employees, and recognizing the extremely important obligation that we have for appropriate protection that is compliant with laws and regulations, etc. we have set up a “Privacy Policy” to ensure customer confidence and societal trust.
We inform all employees to ensure that they observe it strictly so that we properly handle personal information. Specific personal information (the personal information containing an individual number) is also subjected to this privacy policy.

1. Scope
In order to establish, implement, maintain, and improve the personal information protection management system (hereinafter referred to as the “PMS”) concerning personal information used for our business and operations, the scope of the PMS is determined by setting the boundaries and deciding whether the PMS can be applied, giving consideration to “understanding the organization and its circumstances”, “understanding the needs of stakeholders and their expectations”, and “the interfaces and dependencies with other organizations.”

3. Purpose of Privacy Protection
In accordance with the Policy, we establish the purpose of privacy protection in consideration of privacy protection requirements, and the results of risk assessment and risk handling in the relevant groups and at the relevant levels. We convey the said purpose and endeavor to achieve it systematically.

4. Risk Management
We define and implement the systematic risk assessment process for the purpose of identifying personal information used for the services and operations, protecting it against privacy protection risk, and handling it in a safe, secure and proper manner. By setting forth the assessment criteria, we screen, analyze and assess risks, and take proper measures (control measures) against actualized risks. By taking necessary and proper control measures and security control measures, we endeavor to prevent, correct, and take preventive measures against unauthorized access to personal information, thefts and loss by improperly taking out, destruction, falsification, leakage, loss or damage, violation of related laws, collapse of economic trust, and influence on an individual concerned.

5. Unintended Use
We properly acquire, use, and provide personal information of customers and employees within the scope necessary for achieving the specified use purposes in the services and operations. Thus, we implement proper measures so as not to engage in unintended use, such as enhancement of the internal control system, and formulation and thorough dissemination of internal rules.

6. Compliance
We observe laws related to personal information, related guidelines established by the government, and other related rules (including the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure and the Guideline for Properly Handling Specific Personal Information) the applicable requirements related to privacy protection, requirements under laws and regulations, etc. related to the services and operations, requirements contained in contracts with customers and external organizations, etc. and voluntary control standards, and keep these documents up-to-date.

7. Privacy Protection Framework
We appoint a Chief Privacy Officer as a person responsible for personal information, and establish a privacy protection promotion framework in order to facilitate the smooth promotion and operation of the PMS.

8. Complaint consultation
We respond promptly and properly to complaints and inquiries on personal information or specific personal information.

9. Education and Training
We offer education and training necessary for privacy protection periodically, thereby aiming to improve knowledge concerning privacy protection and raise awareness of privacy protection.

10. Continuous Improvement
In order to secure our compliance with the Policy, we carry out monitoring, measuring, analysis, evaluation, auditing and correction of the status of the implementation of the PMS, and endeavor to make continuous improvements.
